Participation in the CERN STEAM Academy is subject to the following conditions.

Participants are required to be present for at least 90% of the programme. Extended absence may result in exclusion from the programme and ineligibility for certification. Exceptions may be considered only in duly justified cases (e.g. medical reasons), and must be supported by appropriate documentation. The programme typically includes lectures, practical sessions, and evaluations amounting to approximately 6 hours per day. Participants are expected to manage their time accordingly and ensure full engagement.

Participants are responsible for arranging their own travel and, where required, obtaining an appropriate visa. The organisers may provide supporting documentation but cannot guarantee visa approval.

Participants are required to adhere to the CERN Code of Conduct and to maintain a respectful and professional attitude throughout the programme. Any inappropriate behaviour may result in termination of participation. If you believe someone is violating the Code of Conduct, please bring it to the attention of the Academy Administration (by email to steam.academy@cern.ch). 

The working language of the programme is English. Participants are expected to have sufficient proficiency to follow lectures and actively contribute to discussions and practical sessions.

If a participant is unable to attend, they must inform the organisers as soon as possible. Places may be reassigned to candidates on the waiting list.

Participation is confirmed only after completion of registration and payment of the participation fee. Failure to meet deadlines may result in the withdrawal of the offer. Participation fees are non-refundable, except in exceptional circumstances at the discretion of the organisers.

Participants are responsible for their own personal arrangements, including travel and insurance. CERN cannot be held responsible for personal expenses or unforeseen circumstances.

Please note that photographs and video recordings may be taken during the CERN STEAM Academy. These materials may be used by CERN for communication and outreach purposes (e.g. website, social media, and promotional materials). Participants will be asked to sign a consent form at the start of the Academy allowing the use of such materials in which they may appear. We would appreciate your support in helping us showcase the programme.

Accommodation is booked for the full duration of the programme. Participants who choose the accommodation provided by the Academy are expected to stay there for the entire duration of the programme. Participants opting for single-room occupancy agree to pay the additional cost associated with this option for the full period. In case a participant decides to move out of the provided accommodation during the programme, they remain financially responsible for the remaining accommodation costs, and the Academy will not assist in arranging alternative accommodation.

A certificate of completion will be awarded only to participants who successfully complete the programme, including attendance requirements and evaluations.

The organisers reserve the right to modify the programme content, schedule, or speaker lineup if necessary.
